Important Deadlines for Enrollment

You are responsible for meeting enrollment deadlines and providing all required forms and documentation. Enrollment is processed in Workday.

If you miss the deadline to enroll, you will have to wait until the next Open Enrollment period. Open Enrollment occurs every September/October. However, you can make changes to your benefits if you experience a special enrollment opportunity. Examples include marriage/divorce, or the birth/adoption of a child. Enrollment Period Within 30 Days of Hire

  • Vision
  • Dependent Care Reimbursement Account
  • Health Reimbursement Account (Management and Confidential only)
  • Supplemental Life
  • Accidental, Death, & Dismemberment

Enrollment Period Within 60 Days of Hire

  • Health

Health enrollment is effective the first of the month following receipt of the enrollment form (HBD-12). 

Important Note: Health coverage is a one-month pre-pay. Your initial paycheck(s) will reflect a temporary increased premium due to the pre-pay requirement.

Before you Begin

Please complete the following steps to make your enrollment experience a positive one.

Read the email you received regarding your new employee benefit processing

Locate and prepare your dependent verification documents

You may enroll dependents on your medical, dental and/or vision plans. Qualifying dependents are children, and/or spouse or State Registered Domestic Partner. You must submit valid dependent verification within Workday. Review Required Forms and Documents section in the County of Placer Benefit Guide for the list of items that qualify. The following are the most common when adding dependents:

  • Marriage Certificate / Domestic Partner Registration
  • Birth Certificate(s)
  • Social Security Number(s) (Number only. No documentation needed)
  • CalPERS HBD-12 Health Enrollment Form

We strongly recommend scanning or digitally photographing the document(s) you plan to attach. Save the documents to a secure computer before you start the enrollment process.

Know your benefit/union group

Confirm your benefit/union group by reviewing the email from the Human Resources Department regarding your benefit processing.

Verify your address in Workday

Once you have County network access, you should be able to access the Workday system. Your benefit options are based on your home address, specifically your zip code. Please make sure your address is current so that you are offered the correct benefit plan options. From a County network computer, refer to the “Benefit Life Event – Address Change – Employee Initiated” for step-by-step guidance.

Contact insurance plan providers directly with any questions

You can contact providers ahead of time, to determine what plan is right for you and/or your family. They can answer questions about their network, plan coverage and other benefit details. It is important that you specify that it is a CalPERS plan. For example, a provider may accept Blue Shield Access+ but not CalPERS Blue Shield Access+. The Employee Benefits Guide contains dependent eligibility information, required forms, premium rates, legal notices, and other resources and benefit information.

Completing the six steps above and reviewing “The Essentials” below is important. They provide you with the information needed to make your benefit elections. Once you have completed your new hire Onboarding in Workday, you will receive an enrollment task in your Workday Inbox.
