1. How do I sign up for the new online timesheet service?

You can do the following to sign up:

• Go directly to the electronic timesheets website to register for the service.
• Read more about the Electronic Timesheet Service at the CDSS website.
• Contact the Help Desk toll free at 866-376-7066, option 4, during normal business hours, 8 a.m. to 6 p.m., Monday through Friday, excluding major holidays, for additional assistance.
• Recipients can contact the county office at 530-889-7115, to sign up to approve timesheets by telephone using the Telephone Timesheet System (TTS).

2. What do I need to have before I sign up?

You need the following before you sign up:

• You must be a current active eligible In-Home Supportive Services provider or recipient
• You must have access to your Provider number or case number, plus social security number at the time of registration.
• You must possess a valid email address
• You must have internet access
• You must have access to a smartphone, tablet, laptop or personal computer

3. How do I sign up for the ESP Electronic Timesheet Trainings?

Placer County IHSS Payroll will be conducting small group training sessions for current IHSS Providers. If you are interested in an in-person Information Session the County will be conducting them in December 2019 and January 2020.  Request notification of upcoming ESP Training and Information Sessions

4. How does this new online service benefit me?

This service will benefit you in the following ways:

• Providers can submit timesheets, sick leave claim forms, and travel claim forms directly online.
• Provider will have option to submit time by phone beginning.
• Recipients can approve timesheets online or by telephone.
• No more waiting for the postal service to deliver your timesheet.
• Providers can sign-up for direct deposit immediately online through the Electronic Service Portal (ESP).
• ESP checks your timesheet before it is submitted to help you avoid errors and potential violations.
• You can check timesheet and payment status.
• You can download copies of your pay stubs.
• You can view timesheet history up to the last three months.
• You can request supplemental timesheets without having to contact the county.
• Providers can electronically submit Live-In Self-Certification SOC 2298 form or removal form SOC 2299
• Recipient can E-hire active IHSS providers
• Coming soon - Providers will be able to update their mailing and/or residential address (NOV 2021)

5. What is Electronic Visit Verification (EVV)?

EVV is an additional check-in, check-out step that will be implemented after January 2020. The changes that occur with EVV, will be a lot less confusing and easier to understand for those who sign-up for ESP now, before the EVV changes are added.

6. How do I download my pay stubs?

Providers will now be able to download duplicate copies of their pay stubs directly through IHSS ESP on the Recent Payments and Payment Search screens. A 'Download Pay Stub' button will display in the payment details once the warrant number has been received from the State Controller's Office.

Clicking the download button will instantly download a copy of the pay stub for the user to print and save. The ESP will not send a duplicate pay stub through email. This does not change how providers receive their original pay stubs. Providers will continue to be mailed paper copies of their pay stubs after a timesheet, travel claim, or sick leave claim has been successfully processed.

7. Do I have to sign up for direct deposit?

Yes, on 7/1/2022 it will be mandatory, read here.

8. How do I view my Direct Deposit or Pay Stub on the ESP?

Providers that do not receive RA (remittance advice) statements or pay stubs in the mail can view, download and/or print their RA statement/pay stub in the Electronic Services Portal by using the following steps:

1.  Log into your ESP account
2. Click on the Financial tab at the top of the ESP landing page.
3. Select Recent Payments from the sub menu. The most recent payment will display if it was made in the last 14 days. if no recent payment was made in the last 14 days, you can enter the payment date you are seeking.
4. Select View Payment Detail in the blue section
5. Select either email or download or print in the blue section.
